The Hidden Cost of “Just Checking Email”

I spent the last few weeks building out a full Notion Mail system for myself and my VA.
Here’s what I set up:
Client CRM View – Emails grouped by client status (Lead, Active, In Progress)
Support View – Customer inquiries, sorted by urgency
Newsletter View – Just newsletters, grouped by unread, with a 1-click unsubscribe
Finance View – Invoices, receipts, and Stripe alerts in one clean place
CEO View – Only shows urgent, high-leverage emails I need to reply to
VA View – Everything else, processed and triaged daily
Now every email has:
A label (what is it?)
An action (what needs to happen?)
A context (how important is it?)
The result?
Inbox Zero daily, without the stress.
